Check-in Notifications

Add-ons · 2 min read · Updated May 21, 2026

The Check-in Notifications add-on alerts you (and your team) in real time as attendees scan in at the gate. Useful for monitoring VIP arrivals, tracking which session is hitting capacity first, getting a notification when staff has checked in their 100th attendee of the shift, or just for the satisfying drip of confirmations on a phone during sold-out events.

The Check-in Notifications add-on lets you automatically send an email to every attendee the moment they check in their ticket. This is ideal when you want to welcome guests, send event instructions (Wi-Fi info, map link, agenda, etc.).

Once installed and activated, a new section appears in Tickera Settings -> Email, dedicated to Check-in Notifications. Each time a ticket is checked in through any Checkinera app (iOS, Android, or Web via the Checkinera plugin), Tickera triggers the email based on your configuration.

Available options

Inside the Check-in Notifications area, you’ll find everything needed to customize the outgoing message:

  1. Mail subject – Set the subject line that will appear in the attendee’s inbox.
  2. From name – This is the “sender name” shown in the email client. You can enter your event name, brand name, or venue name.
  3. From email address – The email address that appears as the sender. Use a domain-based email (for example info@yourdomain.com) for best deliverability.
  4. Check-in notification text – Here you write your message content. You can include dynamic placeholders to personalize it automatically:
    • (OWNER_NAME)
    • (EVENT)
    • (TICKET TYPE)
    • For example:
Hello (OWNER_NAME), welcome to (EVENT)! Your ticket type is (TICKET TYPE).
  5. Send check-in notification to owner – Enables sending notification email to the attendee email address.
  6. Send check-in notification to buyer – Enables sending email notification to the buyer email address.

Good to know

  • Emails are sent only when a ticket is successfully checked in (not for failed scans or multiple check-ins unless the ticket type allows it).
  • Notifications work regardless of whether Tickera runs as a standalone or with Bridge for WooCommerce.
  • If you want to display a QR code directly inside order confirmation emails instead of forcing attendees to open PDFs, see this solution.
